How guest passes work with class bookings

This article explains what happens to a guest pass when a guest is booked into a class. You'll learn when a pass is consumed, returned, or held, depending on whether the guest attends, cancels, or is placed on a wait list.

Guest no-show

If a guest is booked into a class using a client's guest pass and doesn't attend, the pass is consumed. It isn't returned to the client's available balance. The client committed a pass to hold a spot, and that spot went unused.

If your business has a no-show penalty configured, that penalty is charged to the guest's account.

Guest cancels early

If the guest cancels before the late-cancel window closes, the pass is returned to the client's available balance. No penalty is charged.

Guest cancels late

If the guest cancels after the late-cancel window has passed, the pass isn't returned to the client. If your business has a late-cancellation penalty configured, that penalty is charged to the guest's account.

Business cancels the class

If your staff cancels a class that has a guest enrolled, the pass is automatically returned to the client's available balance. No penalty is applied to the guest.

Business reschedules the class

If your staff reschedules a class, the guest's enrollment carries over to the new session automatically. The pass remains consumed.

Wait list behavior

When a class is full and a guest is added to the wait list using a client's guest pass, the pass is held. This prevents the client from accidentally using the same pass elsewhere while the wait list spot is pending.

While the pass is held:

  • The client's available pass count decreases immediately.

  • The pass isn't counted as used. It shows as Waitlisted in the guest pass details.

Wait listed guest promoted

The pass converts to Used and the booking is confirmed.

Wait listed guest not promoted

The pass is automatically returned to the client's available balance.

Guest cancels wait list entry

The pass is returned to the client's available balance immediately. No penalty is charged.
