Guest pass settings

Guest Pass Service Category

Select the type of service guests can attend with this pass. You can select Gym for gym visit guest passes or Classes for class guest passes.

Guest Pass name

The name of the guest pass, visible to your clients.

Guest Pass image

An optional image for the guest pass.

Guest Pass policy description

An optional description of the guest pass policy, visible to your clients and the guest. We recommend including the rules of the guest pass in this description.

Guest Eligibility

Description

New clients only

Only clients who are new to your business can redeem this pass.

All clients

Any client can redeem this pass.

Select client groups or types only

Only clients in the groups or client types you select can redeem this pass.

Regional Access

This setting is only available for Enterprise franchise businesses. It determines whether a guest pass can be redeemed only at the location that sold it, or also at other locations within the same Enterprise Region.

Only where it was sold

The guest can only use the pass at the location that sold it. This is the default.

Also at other locations in a region

The guest can use the pass at any location within the selected region(s), as long as that location also sells this guest pass. Select one or more regions in the search field that appears. Each selected region displays as a chip showing how many of its locations sell this guest pass, for example, "4 of 12 locations sell this pass." You must select at least one region to save.

Guest Check-In

Member must be present for guest check-in

When set to ON, guests can only enter the gym when the inviting member has checked in that day. If the guest tries to check in before the member, an error message appears on the self check-in kiosk and Quick Check-In. The member must have checked in within the previous 24 hours for the guest's check-in to proceed.

Invitation Rules

How often a guest can be invited

Members can invite the same guest as often as their membership allows.

Limited invites

Restricts the number of times the same guest can be invited over a set period.

Pass Expiration

Pass Expiration

The number of days a guest has to claim and use the pass after the invitation is sent. If the invitation expires before being claimed, the pass returns to the member's available balance.

Location

The location you assign to a guest pass determines where it can be used in every booking flow, including member self-booking, staff booking in the Back Office, and gym check-in. This applies regardless of where the client's membership was purchased or whether their membership allows cross-location attendance.

To confirm which location(s) a pass is valid at, open the client's profile, open their active Purchase Options, and open the Guest Pass Usage Details for that pass. If Regional Access is enabled, the Recipients table in that view shows the actual redemption location for each visit, which may differ from the location that issued the pass. Financial & Payroll Settings

Setting

Description

Include clients who use this Purchase Option in payroll calculation

When set to ON, clients who use this guest pass are included in staff payroll calculations.

Apply approximate revenue per session

When set to ON, enter a dollar amount to apply as approximate revenue per session for reporting purposes. Defaults to $0.00.

Revenue Category

Select one or more revenue categories to track revenue for this guest pass.

Primary Revenue Category to attribute revenue

Select the primary revenue category for revenue attribution.
