Store settings

You can configure the settings for your store through your store settings page. This article provides an explanation of how each setting works.

Currency

The currency that your business uses. You can change the currency settings under the general information section of your business settings. For more information, see Set currency and taxes for your business.

Location

Determine how your store functions at different locations.

Setting

Description

Require staff members to select a location at checkout

If set to ON, staff members are required to select a location when making a sale, using the By default [location] is selected setting. The location a sale is assigned to affects your sales reports.

If set to OFF, sales are automatically assigned to the client's home location.

Require clients to select a location at checkout

If set to ON, a client is required to select a location when making a purchase. A client may select a location they don't attend; when selected, the sale is attributed to that location and reflected in your sales reports. The store only displays Purchase Options applicable to that location.

If set to OFF, sales are automatically attributed to the client's home location. If the client doesn't have a home location, they'll need to select one at checkout.

Display all Purchase Options regardless of selected location

If set to ON, all Purchase Options are always displayed in the store, even when they aren't assigned to the selected location. For example, if a client is visiting Location A and wants to buy a Purchase Option that only applies to Location B, this setting allows the purchase.

Taxes

The taxes that can be applied to sales at your business. Click Add Tax to create a new tax, then enter a name, value, and the locations it applies to. You can customize existing tax options from here. For more information, see Set currency and taxes for your business.

Taxes applied to a purchase appear on your receipts under the subtotal.

Apply Taxes To

Determines which items at your business have taxes applied to them when they're sold. Options set to ON will be taxed; options set to OFF won't be taxed. Your options are Products, Purchase Options, and Services.

Payment Methods

All payment methods that are set up at your business.

The color of a listed payment method indicates whether it's a default or custom payment method, and whether it's active:

  • Default payment methods that are enabled are listed in blue.

  • Custom payment methods that are enabled are listed in green.
    ​

  • All disabled payment methods are listed in gray.

You can enable or disable payment methods, create new ones, or customize existing ones from here. For more information, see Payment methods.

Accepted Credit Cards

Determines which credit cards can be used at your business. Card types set to ON can be used. Card types set to OFF can't be used.

Surcharge

Determines whether clients are charged a surcharge when using a credit card or an ACH account to make a purchase in your store, pay a recurring auto-payment, or complete a bulk billing charge.

To require a surcharge on credit card transactions, set Add a surcharge of [amount] when using credit card to ON, then enter the surcharge amount and select whether it's a dollar amount or a percentage.

To require a surcharge on ACH transactions, set Add a surcharge of [amount] when using ACH to ON, then enter the surcharge amount and select whether it's a dollar amount or a percentage.

Staff members with the Edit price at the point of sale permission can override these amounts at checkout.

Surcharges applied to a purchase appear on your receipts under the subtotal.

Changes made to these settings won't apply to previously purchased items, only to items sold after the changes are made. Previously sold items must be resold to apply surcharge changes.

Important legal notice

Surcharging (the practice of adding a fee for credit card or ACH payments) is regulated in some states. Merchants who apply surcharges incorrectly risk fines, disputes, and payment processor penalties. Confirm regional compliance before enabling surcharges.

Some regions charge sales tax on surcharges. Ensure compliance with your region's tax regulations.

Best practices for surcharges

To remain compliant and transparent:

  1. Disclose clearly: Display surcharge details at the point of entry (front desk, checkout page) and on receipts.

  2. Apply only to credit and ACH payments: Debit cards and prepaid cards cannot be surcharged.

  3. Stay within brand rules: Visa and Mastercard limit surcharges to a maximum of 3%. Verify brand rules with your merchant processor.

  4. Register if required: Some processors require merchants to notify them before applying surcharges.

  5. Provide a no-fee option: Clearly offer an alternative (cash, debit) with no surcharge.

Discount Codes

Determines whether your business's discount codes are available when a staff member makes a sale in the store.

When Display discount codes during staff checkout is set to ON, staff members can select active discount codes from a dropdown in the Discount Code field. When set to OFF, staff members must enter discount codes manually.

Tips

Determines whether tips can be given to staff members at checkout or in the Elevate Staff App. For more information, see Set up tips for staff members.

Setting

Description

Accept gratuity at checkout

Set to ON to allow tips to be added to a client's purchase during checkout. If your business uses a chip and PIN terminal, this must be set to ON for the tip prompt to appear on your terminal.

Set up predefined gratuity

Set to ON to set predefined tip percentages staff can quickly select in the Elevate Staff App, then enter the percentages.

Display "No Tip" option

Set to ON to make a "No Tip" button available at checkout in the Elevate Staff App.

Client needs to sign after selecting the tip

Set to ON to require clients to sign after selecting a tip during checkout.

Staff Commission

Determines whether staff can receive commissions from store sales.

Setting

Description

Allow staff members to manually apply commissions at checkout

Set to ON to let staff manually apply commissions at checkout.

Apply automatic commissions for products and Purchase Options

Set to ON to apply commissions automatically whenever an item is added to a client's cart.

Save Banking and Credit Card Information

Determines how credit cards and other banking information are added to the client profile.

Setting

Description

Automatically save a client's banking and credit card information when a staff member makes a sale

If set to ON, Save Payment to Client Profile is automatically set to ON during checkout. Applies to Verifone terminals, USB swiper, and virtual terminal payments.

If set to OFF, that option is automatically set to OFF.

Clients can choose whether to save their banking and credit card information during checkout

If set to ON, Save payment method for future purchases appears and is enabled when a client makes a purchase with a new credit card in the Client Portal.

If set to OFF, the information is saved automatically during checkout.

Require clients to add a credit card to their profile to register

If set to ON, clients must add a credit card when registering. Existing clients without a saved card are prompted to add one when they sign in. Also automatically sets Require clients to add a credit card to their profile to book services to ON. That option must be turned OFF first if you want to disable it.

Require clients to add a credit card to their profile to book services

If set to ON, clients without a saved credit card must add one when booking a service from the Client Portal or Achieve Client App. A Missing Billing Information pop-up appears on the Book Now tab until they do. Clients booking through third-party platforms (ClassPass, Wellhub, Reserve with Google) can complete their booking without this.

Allow clients to remove saved payment methods

If set to ON, clients can remove their own saved credit cards from the Billing & Payments screen in the Achieve Client App or Client Portal.

If set to OFF, clients see a message asking them to contact the business to remove a saved credit card. Applies to credit cards only. It doesn't affect ACH accounts, which only staff members can remove.

Guest Purchases

Controls whether guests can make purchases through the Client Portal.

Set Allow clients to purchase as a guest to ON to let clients complete purchases without creating a password or signing in. You can configure which fields are required under Setup > Clients > Client Profile Fields.

Even though guests don't need a full profile, they still need to complete any required forms or waivers, such as intake forms or liability waivers, before they can complete a purchase.

Product Purchase Settings

Determines whether products should be stored or banked for future use by clients as prepaid service add-ons. For example, if a client purchases 10 Botox treatments, the treatments are added to their profile and tracked as they use them.

To store products on client profiles and track their use, set Offer prepaid service add-ons to ON.

Batch Reconciliation Report

Set a cutoff time for your Batch Reconciliation Report and determine which ID numbers are used for your transaction batches.

Setting

Description

Report cutoff time

Set a cutoff time for your batch reconciliation. Matching your merchant processor's cutoff time improves the accuracy of your Batch Reconciliation Report.

Synchronize batch number from merchant processor

When ON, your transactions use the batch number generated by your merchant processor. When OFF, your transaction batches are numbered sequentially (00001, 00002, and so on). The batch number appears on the All Sales Report and the Batch Reconciliation Report.

Note: When switching this option to ON, new transactions sync with your merchant processor's batch numbers, but older ones keep their original numbers. This option isn't available if your merchant processor is QuickPay.

Receipts

Determines the customization options for your receipts.

Setting

Description

Receipt Text

Any text entered here appears on all sales receipts issued when a staff member processes a sale on behalf of the client at the point of sale. Limited to 9,934 characters.

Add custom receipt notes at checkout

Set to ON to add a custom note (up to 250 characters) to the email sales receipt of a transaction during store checkout. To have the note appear on email receipts, enable the Sales Receipt email notification and add the [ReceiptNotes] variable to the Sales Receipt template. For more information, see Email variables.
