Bulk Charges Report

To open the Bulk Charges Report, open the App Drawer then click View All > Reports > Sales > Bulk Charges.

The Bulk Charges Report is a sales report that acts as a central place to track every bulk billing batch your business has run, whether it's scheduled, still processing, or completed. See batch status, client counts, and total amounts at a glance, and drill into any batch for a client-by-client breakdown.

The report lists batches created based on the selected date range. For example, if the batch is created on Sep 15, 2026 and scheduled to run on Oct 1, 2026, the batch is found in the Sept 2026 date range.

Key tips

  • Staff members must have the View sales reports permission with Bulk Charges selected to view this report.

  • Staff members must have the Perform Bulk Billing permission to edit or cancel a scheduled batch.
    ​

  • If no batches exist for the selected date range or your filters return no results, the report shows an empty state. Try adjusting the date range or clearing your filters.
    ​

Business strategy insights: Why it's valuable

Bulk Billing saves time whenever you need to charge the same amount to a group of clients at once, like an annual fee, a facility surcharge, or a one-time program cost, instead of processing each client's payment individually.

The Bulk Charges Report gives you visibility into that activity after the fact. Use it to:

  • Confirm a batch went through as expected, and spot which clients still need attention if some charges failed.

  • Track how much revenue a bulk charge brought in, and reconcile it against what you expected to collect.
    ​

  • Catch and fix a scheduled batch before it runs, if you need to adjust the date or cancel it entirely.
    ​

  • See who on your team ran a given batch, which is useful if a client has questions about a charge on their account.
    ​

Customize and manage this report

Some columns may be hidden by default in this report. To show hidden columns, see View or Customize a Report. You can also change the date range, print, export, or save this report as a favorite.

Summary cards in the Bulk Charges Report

Click the Scheduled, Billing in Progress, or Completed card to filter the report to batches in that status.

Description

Total Batches

The number of batches created during the selected period.

Scheduled

The number of batches scheduled to charge clients.

Billing in Progress

The number of batches where some client charges haven't yet processed.

Completed

The number of batches that finished processing all client charges.

Canceled

The number of batches that were canceled.

Total Amount

The total amount for batches created in the selected period, including surcharges. Canceled batches are excluded.

If a client's account balance is charged after failed reattempts, their surcharge is removed from this total.

Total Paid

The total amount successfully paid for batches created in the selected period.

Columns in the Bulk Charges Report

The table shows one row per batch. All columns are sortable. The default sort is by Created Date, oldest first.

Column

Description

Batch ID

The unique identifier for the batch (for example, BB-2026-0042). Click to open the batch detail page. Batch IDs for Canceled batches aren't clickable.

Item

The item billed in the batch. If more than one item is included, the column shows the first item and a +[number] indicator. Hover over the item to see the full list in a tooltip.

Location

The location where the batch was created. Hidden if your business has only one location.

Total Clients

The total number of clients in the batch. If a client is removed from the batch, the number is recalculated. Click to open the batch detail page.

Charged

The number of clients in Charged status. Click to open the batch detail page filtered to Charged clients.

Failed

The number of clients in Failed status. Click to open the batch detail page filtered to Failed clients.

Pending

The number of clients in Pending status. Click to open the batch detail page filtered to Pending clients.

Total Amount

The total amount of the batch, including any applicable surcharges and taxes. This updates automatically if surcharge rates, tax settings, or client type discounts change before the batch's scheduled date and time.

If a client's account balance is charged after failed reattempts, their surcharge is removed from this total.

Total Paid

The total amount successfully collected for the batch. Shows a hyphen (–) if the batch is Scheduled, or if it's Billing in Progress and all clients are still Pending.

Scheduled for

The date and time the batch is scheduled to run, in your business's local time zone.

Created by

The staff member who created the batch. Click the name to open their staff profile in a new tab.

Created Date

The date and time the batch was created, in your business's local time zone.

Status

The current status of the batch. Possible statuses are:

  • Scheduled – Set to run at a future date and time, but hasn't started yet.

  • Billing in Progress – Charges have started, but at least one client in the batch is still Pending.

  • Completed – All client charges have finished processing, even if some failed. Open the batch to see each client's status.

  • Canceled – Canceled before it ran. Stays visible in the report as a record. The Charged, Failed, and Pending columns show no values, and no Actions menu is available.

Actions

The actions available for the batch. Possible actions are:

  • View batch details – Open the batch detail page. Available for all statuses except Canceled.

  • Edit batch schedule – Change the date and time a batch is scheduled to run. Available for Scheduled batches, and requires both the Bulk Charges report and Perform Bulk Billing permissions.

  • Cancel batch – Cancel all pending charges in a batch. Available for Scheduled batches, and requires both the Bulk Charges report and Perform Bulk Billing permissions.

    • Warning: Canceling a batch can't be undone. Clients won't be charged on the scheduled date.

Filters in the Bulk Charges Report

Filter

Description

Location

Determines which batches to include based on the location where they were created. This filter only appears if your business has more than one location.

Purchase Options

Determines which batches to include based on the Purchase Options billed.

Created by

Determines which batches to include based on the staff member who created them.

Products

Determines which batches to include based on the products billed.
