Charge multiple clients at once with bulk billing

If you manage billing for your business, Bulk Billing lets you select a group of clients from the Clients List and post or schedule one charge for all of them at once. This is useful for charges that fall outside regular membership payments, like annual fees or product surcharges, since you'd otherwise have to charge each client one at a time.

For example, if your studio charges a $50 annual administration fee to every active member, you can select those clients, choose the fee, review who will be charged, and post the charge for everyone in one step.

Key tips

  • The Bulk Bill action is only available to staff with the Perform Bulk Billing permission. If you don't see this option, ask your business owner or manager to update your role permissions.

  • A batch can include up to 1,000 clients and five items.
    ​

Step 1 – Select your clients

To select your clients:

  1. Open the App Drawer then click View All > Clients List.
    ​

  2. Select the checkboxes next to the clients you want to charge. Use search or filters to narrow the list.
    ​

  3. Click the Action button at the top of the list, then select Bulk Bill.

The Bulk bill page opens with your selected clients carried over.

Step 2 – Configure the charge

On this page, you'll choose what to charge, how to collect payment, and when to run the charge. Click Cancel at any point to exit without charging anyone; your client selection is kept.

Location

If your business has two or more locations, select the location for this batch. Each batch applies to one location only. The item list only shows items sold at the location you pick, and every resulting transaction is attributed to that location.

Items to bill

Search for the items you want to charge, or select Select all to add every item. Items are grouped under Memberships, Session Passes, Packages, and Products. Expand a group to choose specific items. As you add items, a running subtotal per client appears below the list.

Tax

This section only appears if taxes are enabled for the selected location. Include pre-configured taxes for applicable items defaults to ON.

  • ON – Tax is applied and the total tax amount for the batch appears in the Charge summary during the review step.

  • OFF – No tax is applied to this batch.
    ​

Payment method

Choose how to charge clients:

  • Charge client's default payment method (default) – Charges the card on file. If a client has no card on file, the amount is added to their account balance instead.
    ​

  • Bill to client's account – Adds the charge to each client's account balance as an outstanding balance instead of charging a card. Clients can pay off this balance later.
    ​

Surcharge

This section appears when Charge client's default payment method is selected and your business has credit card or ACH surcharges set up.

  • Include credit card surcharges – Defaults to ON if credit card surcharges are set up in your store settings. Adds your configured credit card surcharge to the total for any client paying by credit card.
    ​

  • Include ACH surcharges – Defaults to ON if ACH surcharges are set up in your store settings. Adds your configured ACH surcharge to the total for any client paying by ACH.

When to bill

Choose when the charge should run:

  • Bill immediately (default) – Charges are submitted as soon as you confirm.
    ​

  • Schedule for later – Set a future date and time. Time defaults to 9:00 a.m. in your business's time zone.

Transaction note

Optionally add a note to explain the charge, such as "Annual dues, 2026." It's saved on each resulting transaction so you and your staff can see the reason for the charge later, on the client's Transactions tab and in reports.

Purchase receipt

Email receipt to clients defaults to ON.

  • When ON, each client is emailed a standard purchase receipt once their charge processes, the same as any other purchase.

  • Set to OFF if you don't want clients notified, for example if you're charging an internal fee they already know about. Printed receipts aren't available for bulk billing.

Step 3 – Review and confirm

When you’re satisfied with your configurations to the charge, click Review to continue. The Review & Confirm page opens. Check the summary and client list carefully before you post the charge, since posting can't be undone.

Charge summary

Shows the item, price, subtotal, tax, automatic discounts, surcharge, and total per client, the batch total, payment method, when it'll run, and receipt status. If you're billing immediately, it also shows how many clients will be charged to their saved payment method and how many will be billed to their account balance, with the amount for each.

Client list

Shows each client's name, email, and payment method. A saved card shows as its brand and last four digits (for example, Visa ••4242). No saved card shows as Account. Remove a client by clicking the X on their row; the totals update right away. Batches of 100 or more clients load 25 clients at a time. Click Show more for the rest.

Filters – Use the filter buttons above the client list to view All, clients with No issues, or clients with Warnings.

Restrictions

Some clients may be removed automatically if they don't qualify for the item you're billing. Removed clients can't be added back in this flow. An expandable banner shows how many clients were removed, why, and their names and emails. Clients are removed when:

  • The item is limited to certain client types or client groups, and the client doesn't qualify under either one.
    ​

  • The item isn't sold at the location you selected.

Warnings

Some clients stay in the batch but are flagged for you to check. A banner above the list explains why. Warnings appear when:

  • The item is an introductory offer for new clients, and a client already bought it or isn't new.
    ​

  • The item is a tracked product and there isn't enough stock for everyone in the batch.
    ​

  • A client has no email on file, so they won't get a receipt. This only shows if Email receipt to clients is ON.
    ​

  • A client has no saved payment method. If you're charging default payment methods, this client is billed to their account balance instead.
    ​

Step 4 – Post or schedule the charge

To post or schedule the charge:

  1. When you're ready, click Post Charges (or Schedule Charges for a future date).
    ​

  2. Review the information in the popup, then click Charge [number] clients (or Schedule charges).
    ​

  3. Click Done to return to the Clients List.

Charges process in the background, so you don't need to stay on the page.

  • Tracking your batch – Go to the Bulk Charges Report to check a batch's status: Billing in progress, Completed, Scheduled, or Canceled.
    ​

  • Cancelling scheduled charges – Cancel a scheduled batch, or remove one client from it, from the Bulk Charges Report. You can't cancel from a client's Transactions tab.
