Check-Ins Report

You can access the Check-Ins Report by clicking the App Drawer button then clicking View All > Reports > Attendance > Check-Ins.

The Check-Ins Report is an attendance report that displays detailed information about client check-ins to the appointments, classes, events, and assets at your business during the selected date range. The summary cards at the top of the page provide an overview of the key information in the report.

How different businesses use this report

  • Med spas and healthcare-adjacent studios use custom client profile fields in this report for insurance billing and reimbursement documentation.

  • Yoga and fitness studios use the Client Status filter to find clients with an active Purchase Option, helping identify who's overdue for a renewal.
    ​

  • Multi-location businesses use the Locations filter and Service Location column to compare check-in activity across sites.
    ​

  • Businesses offering both classes and appointments use the Reason column to spot recurring check-in failures, such as expired passes or unsigned waivers, and follow up with clients directly.

Customize and manage this report

Some columns are hidden by default in this report, including Service Provider, Service Location, and Service Type. You can also customize this report to add your default and custom client profile fields as columns. These fields are especially useful when using this report for healthcare reimbursement. You can also change the date range, print, export, or save this report as a favorite.

Auto-update

You can make the report automatically refresh whenever a new check-in occurs by turning the Auto-update option to ON.

  • There may be a delay of up to one minute for each refresh.
    ​

  • Auto-update can only be turned on if the current day is included in the selected date range.

Summary cards in the Check-Ins Report

Summary card

Description

Total Check-in Attempts

The total number of check-in attempts at your business during the selected date range, including self check-ins, staff-initiated check-ins, and system-generated check-ins.

Failed Attempts

The number of clients who failed to check in to services at your business during the selected date range. This does not include attempts by staff members using QUICK check-in or manually changing a client’s attendance status.

Successful Attempts

The number of clients who successfully checked in to services at your business during the selected date range.

Headings in the Check-Ins Report

Heading

Description

Client

The name, email, and profile image of the client who checked in is listed in this column. Relevant details about this client, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.

Date & Time

The date and start time of the scheduled service.

Service Name

The name of the service that the client attended.

Check-in Status

Shows whether the client was able to check in to the service. If the client failed to check in, the reason for the failure is listed under the Reason heading.

Reason

Shows the reason the client failed to check in to a service. If the client successfully checked in, this column will be empty. Possible reasons and how to resolve them are listed below:

  • Waitlist full – The class waitlist has no open spots left. Wait for a spot to open, or add the client to a different session.

  • Attendance limit exceeded – The client has hit the visit cap allowed under their Purchase Option for this period. Check the Purchase Option's attendance limit, or offer an upgrade.

  • Purchase Option not yet active – The visit date is before the Purchase Option's start date. Confirm the start date, or check in the client under a different active Purchase Option.

  • Purchase Option has no remaining visits – The client has used all visits included in this Purchase Option. Renew or sell a new Purchase Option.

  • No valid Purchase Option available – The client has no Purchase Option that applies to this service. Sell or assign an applicable Purchase Option.

  • Purchase Option is on hold – The visit date falls during a hold period on the Purchase Option. Remove the hold, or check in once the hold ends.

  • Purchase Option has expired – The visit date is after the Purchase Option's expiration date. Renew the Purchase Option.

  • Purchase Option has an unsigned contract – The Purchase Option requires a signed contract that's missing. Send the contract for signature.

  • Online booking is disabled for this class – The class doesn't allow self-service booking. Check in the client manually, or enable online booking for the class.

  • Credit card is required for booking services – The service requires a card on file and none is saved. Add a card to the client's profile.

  • Client is flagged at this location – The client has a flag restricting access at this location. Review and clear the flag if appropriate.

  • Class is full – The class has reached capacity. Add the client to the waitlist, or move them to another session.

  • Visit must be booked prior to check-in – The service requires a booking before check-in is allowed. Book the visit first, then check in.

  • Business policy prevents unpaid check-ins – The business doesn't allow check-ins without payment, and this visit is unpaid. Collect payment, or apply an eligible Purchase Option.

  • Self check-in unavailable for this service – This service doesn't allow client self check-in. Check in the client from the Staff Back Office.

  • Business Policy restricts Gym Visits – Gym-visit check-ins are disabled by business policy. Adjust the business policy setting if this access should be allowed.

  • Service requires staff approval – The service needs staff to approve the booking before check-in. Approve the booking.

  • Service approval denied – Staff denied this booking. Review the denial, or approve a new booking.

  • Waiver has not been signed yet – The client hasn't signed the required liability waiver. Send the waiver.

  • Access to this location is restricted – The client doesn't have access permissions for this location. Update the client's location access.

  • Booking is outside the allowed booking window – The check-in falls outside the service's booking window. Check in within the allowed window, or adjust the window setting.

  • Client has unpaid fees – The client has an outstanding balance blocking check-in. Collect payment on the outstanding balance.

  • Client is on the waitlist – The client is waitlisted rather than confirmed for this session. Confirm their spot if one opens, or check in manually if appropriate.

  • Unclassified reason – The system couldn't match the failure to a known reason. Contact WellnessLiving support with the check-in details..

The method used to check the client in to a service. The possible options are:

  • Achieve Client App – Displayed when a client checks in to a service using the Achieve Client App.

  • Attendance Web App – Displayed when a client checks in to a class or event using the Attendance Kiosk, a dedicated device set up at your business where clients select their name from the class roster. Also displayed when a client checks in using the Check-In App in attendance mode.

  • Client Portal – Displayed when a client checks in to a service using the Client Portal on their own phone or computer.

  • Elevate Staff App by [staff member's name] – Displayed when a staff member checks a client in to a service using the Elevate Staff App.

  • Wellhub – Displayed when a client checks in to a service through Wellhub.

  • Self Check-In Web App – Displayed when a client checks in to any service, including gym visits, using the Self Check-In Kiosk, a dedicated device set up at your business. Also displayed when a client checks in using the Check-In App in check-in mode.

  • Staff Back Office by [staff member's name] – Displayed when a staff member checks a client in to a service from the Staff Back Office using QUICK Auto Check-In, or from the client's profile or schedule.

  • Brivo Door Access – Displayed when a client is automatically checked in to a service through the Brivo door access integration.

  • Passport Door Access – Displayed when a client is checked in to a service through the Passport door access integration. Only appears when door access is granted based on scheduled services. Check-ins aren't created when access is granted based on client groups.

  • System – Displayed when a client is automatically checked in to a service based on the business's attendance tracking business policies.

Note: Clients will only be able to check themselves in when you set the Allow client self check-in option to ON in your Customize the Self Check-In Kiosk and Check-In App settings.

Paid With

The method used by the client to pay for the service.

Service Provider

This column is hidden by default.

The name of the staff member who conducted the service. Click the staff member's name to view their profile.

For gym visits, this column will be blank.

Service Location

This column is hidden by default.

The name of the location at which the service took place.

Service Type

This column is hidden by default.

The type of service. Options are:

  • Class

  • Appointment

  • Event

  • Asset Reservation

  • Gym Visit

Off-site Location Asset

The name of the off-site location asset assigned to the session. This column is off by default. Add it using the column customization option. Sessions at your regular studio location show an empty cell.

Filters in the Check-Ins Report

Filter

Gym Visits

Use this filter to determine whether to include gym visits in the report.

Client Groups

Use this filter to determine which clients to include in the report based on their client group.

Note: This filter will pull any relevant information from the available fields. For example, if you filter for groups A, B, and C, the filter will find clients from group A, group B, group C, and any combination thereof, as opposed to only finding clients who belong to all three groups.

Staff

Use this filter to determine which staff members to include in the report.

Start Time Range

Use this filter to determine which check-ins to include in the report based on the specific time range during which they occurred.

Day of the Week

Use this filter to determine which check-ins to include in this report based on the day(s) of the week they occurred.

Classes

Use this filter to determine which classes to include in the report.

Events

Use this filter to determine which events to include in the report.

Appointments

Use this filter to determine which appointment types to include in the report.

Check-in Status

Use this filter to determine which check-ins to include in the report based on whether they were successful.

Client Status

Use this filter to determine which clients to include in the report based on whether they currently have an active Purchase Option. This filter checks whether the client has an active Purchase Option as of today, not during the selected date range.

Client Types

Use this filter to determine which clients to include in the report based on their client type.

Bookable Assets

Use this filter to determine which Book-a-Spot assets to include in the report.

Locations

Use this filter to determine which locations to include in the report.

Account Purchase Options

Use this filter to determine which account Purchase Options to include in the report.

Appointment Purchase Options

Use this filter to determine which appointment Purchase Options to include in the report.

Asset Purchase Options

Use this filter to determine which asset Purchase Options to include in the report.

Class & Events Purchase Options

Use this filter to determine which class/event Purchase Options to include in the report.

Gym Purchase Options

Use this filter to determine which gym Purchase Options to include in the report.

Filters the report based on how the client paid for the service.

WellnessLiving Promote Network

Use this filter to display or hide sessions that were purchased through ClassPass or Wellhub. Options include:

  • ClassPass – Sessions that were purchased through ClassPass.

  • Wellhub– Sessions that were purchased through Wellhub.

Off-site Location Asset

Filters results to sessions that used a specific off-site location asset.
