To view your QuickBooks Online integration, open the App Drawer
then click View All > Setup > Integrations > QuickBooks.
Understanding the QuickBooks Online integration
Keep your books accurate without lifting a finger. Once you connect QuickBooks Online to WellnessLiving, your sales, payments, and refunds sync over automatically, no third-party connector, no manual data entry, no more copying numbers between two systems. WellnessLiving never sees your QuickBooks password. You sign in directly through Intuit.
Sync only flows one way, from WellnessLiving to QuickBooks. WellnessLiving remains your system of record, and nothing you do in QuickBooks syncs back.
Your client information stays in WellnessLiving too. Instead of creating a QuickBooks record for each client, all your transactions post against a single shared customer record, so WellnessLiving remains your source of truth for client data.
The QuickBooks Online integration is available as a paid add-on at $39 USD per month, billed as a flat rate per business regardless of how many locations you have.
Key tips
The QuickBooks Online integration is available to businesses in the United States and Canada only.
Only staff members with the Configure QuickBooks Online settings permission enabled can access this integration.
This integration is separate from Finance (powered by Autymate). If you're already using that integration, see the linked article for details.
Connecting is at the business level, not per location. If your business has multiple locations, one connection covers all of them.
Make sure your QuickBooks chart of accounts is set up before you connect. You'll need revenue accounts for each type of income you want to track separately, bank accounts for each payment method's destination, and liability accounts for gift cards and client account balances. WellnessLiving reads your chart of accounts during setup. It doesn't create accounts for you.
If you use a bank feed in QuickBooks, review your payment method mapping carefully during setup. Mapping payment methods directly to your bank account can create duplicate transactions when both your bank feed and WellnessLiving are bringing the same money in. We recommend mapping to a clearing account instead.
Before connecting to QuickBooks Online, make sure your Finance (Autymate) integration is deactivated. Running both integrations against the same QuickBooks company will create duplicate transactions in your books.

Once you're connected, here's what you can do:

Subscribe and connect your QuickBooks Online account
The QuickBooks Online integration is a paid add-on. Subscribing and connecting your account happen one after the other in the same setup flow.
To subscribe and connect your QuickBooks Online account:
Open the App Drawer
then click View All > Setup > Integrations > QuickBooks.
Review the feature details and pricing, then click Connect QuickBooks Online.
In the Confirm subscription popup, review the billing details, then click Confirm subscription. Your subscription is now active and billing begins.
Click Connect.
Sign in to your QuickBooks Online account and grant WellnessLiving permission to sync your data.
Confirm that the QuickBooks company name, country, currency, and fiscal year start shown match the account you intended to connect.
Complete the setup wizard to map your revenue categories, payment methods, taxes, and locations, then run a test sync and activate. For more information, see Set up your QuickBooks Online integration.

Disconnect your QuickBooks Online account
Disconnecting stops sync immediately. If you reconnect to the same QuickBooks company, your mapping settings are saved, so you can pick up right where you left off. If you reconnect to a different QuickBooks company, your mapping resets, and you'll need to map your data again before sync can resume.
To disconnect your QuickBooks Online account:
Open the App Drawer
then click View All > Setup > Integrations > QuickBooks.
Click Manage integration.
On the integration dashboard, click Disconnect QuickBooks.
In the confirmation popup, confirm the disconnection.
