If something doesn't sync correctly, WellnessLiving lets you know right away and helps you fix it, so small issues don't pile up into a bigger headache at month-end.
Key tips
Only staff members with the Configure QuickBooks Online settings permission enabled can access this integration.
You'll need to have already set up your QuickBooks Online integration.
You can check your overall sync health at any time from Monitor your QuickBooks sync status and history.
How you're notified
When a sync run has any transactions that didn't sync, you'll hear about it two ways:
In-app banner – Appears in WellnessLiving with a link straight to the details.
Email – Sent immediately for the first failure, then throttled to once a day per business for any additional issues.
Review your sync issues
Your Sync issues page lists every transaction that didn't sync. For each one, you'll see the WellnessLiving transaction ID, the client's name, the amount, and a plain-language explanation of what went wrong and what to do about it.
If the issue is a configuration problem, like a deleted QuickBooks account or an unmapped tax code, the row links you straight to the mapping step that needs fixing.
Understanding sync error messages
If a test sync or a regular sync shows a specific error message from QuickBooks, note the reference number shown alongside it. If the error suggests a mapping problem, use the link on the error message to jump directly to the mapping step that needs fixing. If you can't resolve the issue, Contact WellnessLiving Support with the reference number, and we can look into what QuickBooks reported.
Resync your transactions
Once you've fixed the underlying issue, you're ready to resync.
To resync your transactions:
To resync one transaction, click Resync next to it.
To resync everything at once, click Resync all.
A transaction disappears from your sync issues list as soon as it syncs successfully.
If your connection is lost
If your connection to QuickBooks is lost or expires, you'll see a persistent banner in WellnessLiving. Click it to reconnect.
Proactive warnings for deleted QuickBooks items
Sometimes an issue can be caught before it ever causes a failed sync. WellnessLiving checks your mapping against QuickBooks periodically, so issues like a deleted account, tax code, or class/location are caught before they cause a sync failure, not just when a transaction actually needs them.
Example: If your bookkeeper deletes a QuickBooks income account you've mapped, you'll see a warning immediately, not after a batch of sales has already failed to sync.
You'll see this in two places:
Banner – Links straight to the mapping step that needs attention.
Inline warning icon – Appears next to the specific mapping row that needs fixing.
To fix a proactive warning:
Click the banner, or go straight to the flagged mapping step.
Find the row with the warning icon.
Choose a new QuickBooks account, tax code, or class/location.
Click Save.
Once you've updated the mapping, the warning clears and future syncs use the new mapping. If any transactions already failed because of the deleted item before you caught it, they'll show up on your Sync issues page, ready to resync.
If you're seeing duplicate revenue
If you're seeing duplicate revenue in QuickBooks, check whether you have a bank feed connected. When a bank feed is connected and your payment methods are mapped directly to your bank account, both WellnessLiving and your bank feed bring in the same money, doubling your recorded revenue.
To fix this, update your payment method mapping to point to a clearing account instead, then let your bank feed handle the deposit into your bank account. Contact WellnessLiving Support if you need help setting up a clearing account or reconciling transactions that already synced.
