Manage your tuition plans

Tuition plans let you spread the cost of a season or program across a series of automatic installment payments, so your clients pay predictably instead of all at once. When a family enrolls, applicable discounts like sibling discounts and multi-event discounts apply automatically at checkout. You can also charge a one-time registration fee per participant when they enroll. Event instances can be assigned to a plan at any time by editing the plan, as long as the instance is Upcoming and no clients have enrolled through the plan.

Tuition plans are ideal for dance studios, gymnastics centers, swim schools, and martial arts schools running semester- or season-based programs.

Key tips

  • To access tuition plans, you need the Manage tuition plans permission. Tuition plans are only available if events are enabled for your business.

  • You can also start an enrollment from checkout. When selling an event instance that belongs to an active tuition plan, a banner appears at checkout with an Enroll via Tuition Plan link that opens the enrollment wizard.

The Tuition Plans page

The Tuition Plans page lists all tuition plans for your business. Use the status tabs to filter plans by All, Upcoming, In progress, Completed, or Canceled. Use the Search by plan name field to find a specific plan.

Column

Description

Name

The name of the tuition plan.

Status

The current status of the plan: Upcoming, In progress, Completed, or Canceled.

Description

The description entered when the plan was created.

Date Range

The start and end dates of the plan.

Assigned Event Instances

The number of event instances assigned to the plan.

Enrollments

The number of clients currently enrolled in the plan.

Billing

The billing frequency for the plan's installments.

Reg Fee

The registration fee charged to participants at enrollment, if applicable.

Action

Options to edit, duplicate, enroll a client, cancel, or delete the plan.

Create or edit a tuition plan

To create or edit a tuition plan:

  1. Open the App Drawer then click View All > Setup > Store Configuration > Tuition Plans.

  2. Create or edit the tuition plan:

    • To create a new plan, click Add New Tuition Plan.
      ​

    • To edit an existing plan, click Action next to the plan and select Edit.
      ​

  3. Under Tuition plan name, enter a name for the plan.
    ​

  4. Under Description, enter a description of the plan. This description only appears to staff members.
    ​

  5. Under Billing Model, select how tuition is billed for this plan:

    • Installment schedule — Splits the event's total price into a set number of payments. Clients who join late pay a prorated amount based on the sessions remaining.
      ​

    • Membership billing — Bills tuition through the membership you pick for each event instance. Clients who join late pay from when they join the plan.
      ​

    • Note: The billing model cannot be changed after clients enroll. When using membership billing, the membership for each event instance is configured in the event's own settings.
      ​

  6. Under Assigned Event Instances, click Assign, then select the checkboxes next to the event instances this plan covers and click Assign Instances.

    • To change an instance selection, click Edit instances.
      ​

  7. If you selected Installment schedule, set up the payment schedule under Installments:

    1. Under First payment date, select the date the first installment is due.
      ​

    2. Under Repeat every, enter the number and select the unit of time between each installment.
      ​

    3. Under Number of payments, enter the total number of installments.
      ​

  8. If you selected Membership billing, set up the Tuition Dates:

    1. Under Tuition starts, select the date tuition begins. The first charge lands on this date and each membership's payment schedule repeats from it.
      ​

    2. Under Memberships end by, select when memberships end:

      • Event duration — Each membership ends when its event ends. The last charge covers the event's final sessions.
        ​

      • Membership rules — Each membership follows its own duration and renewal settings, even if that ends billing before the event ends.
        ​

  9. Under Tuition Discounts, select how discounts should apply to this plan:

    • No discount — No automatic discounts are applied to tuition costs.
      ​

    • Number of participants — Applies a discount when a family enrolls more than one participant. Under Discount based on number of participants, select Same discount for all to apply the same discount to every additional participant, or Tiered discount to set a different discount for each additional participant. Under Discount type, select Percentage (%) or Dollar ($), then enter the discount amount.
      ​

    • Number of bookings — Applies a discount when a participant enrolls in more than one event instance. Under Discount based on number of bookings, select Same discount for all or Tiered discount, then set the discount type and amount.
      ​

    • Note: Tuition discounts apply to event instance prices only, not to registration fees. When using membership billing, discounts adjust each participant's membership rate at enrollment.
      ​

  10. Under Registration Fee, select whether to charge a one-time fee at enrollment:

    • No registration fee — No additional fee is charged when participants enroll.
      ​

    • Charge a registration fee — Charges a one-time fee per participant at enrollment. If you select this option:

      1. Under Registration fee per participant, enter the fee amount.
        ​

      2. To charge a lower fee for additional participants in the same family, set the Reduce fee for additional participants option to ON.
        ​

      3. To set a maximum total registration fee per family, set the Cap the total registration fee per family option to ON.
        ​

      4. To apply taxes to the registration fee, set the Charge taxes option to ON, then select the checkboxes next to the applicable taxes.
        ​

      5. Under When should the registration fee be collected?, select At checkout to collect the fee when the participant enrolls, or At time of first installment to collect it with the first tuition payment.
        ​

  11. Under Registration Fee Revenue Category, search for and select the revenue categories to assign this plan's registration fee revenue to. For more information, see Revenue categories.

  12. Click Create Plan when creating a new plan, or Save when editing an existing plan.
    ​

Duplicate a tuition plan

To duplicate a tuition plan:

  1. Open the App Drawer then click View All > Setup > Store Configuration > Tuition Plans.
    ​

  2. Click Action next to the plan you want to duplicate and select Duplicate.
    ​

  3. Click the duplicated plan to open it, make any necessary changes, then click Save.
    ​

Cancel or delete a tuition plan

To cancel or delete a tuition plan:

  1. Open the App Drawer then click View All > Setup > Store Configuration > Tuition Plans.
    ​

  2. Click Action next to the plan you want to remove.

    • To cancel the plan, select Cancel plan.
      ​

    • To delete the plan, select Delete.
      ​

Once you've set up a tuition plan, you can assign it to event instances when scheduling and enroll clients directly from the plan.
