Notify staff from an automation

The Notify staff by email step automatically emails your staff when a client reaches that point in an automation. Use it to loop your team in exactly when it matters, for example, alerting your sales manager when a lead goes cold, or letting the front desk know when a VIP client is about to walk in.

Choosing who gets notified

Pick individual staff members, whole staff roles, or a mix of both. If you pick a role, anyone who holds that role gets notified, including staff added to that role later. You don't need to update the automation when your team changes.

If someone's picked more than once (say, they're chosen by name and also belong to a selected role), they'll only get one notification, not two.

Staff without an email on file can't be picked by name. If someone's included through a role but doesn't have an email, they're simply skipped when it's time to send. You need at least one staff member or role selected to save this step.

Notifying only staff at the client's location

Turn on Only notify staff at the client's home location to limit notifications to staff based at the same location as the client who triggered the automation. This is off by default. If the client doesn't have a home location set, this filter is skipped and everyone you picked gets notified.

How sending works

To keep one staff member's inbox from getting flooded, each person can only get up to 20 of these notifications per hour from a single step. Anything beyond that is skipped and logged instead of sent.

Every notification is logged, and shows up in the Email History Report and in the staff member's own contact history. It won't show up in the triggering client's contact history, since they aren't the recipient.
