Sales Details by Location Report (Enterprise Report)

Access the Sales Details by Location Report by clicking the App Drawer button then clicking View All > Reports > Enterprise Reports > Sales Details by Location.

Sales Details by Location Report

The Sales Details by Location Report is an enterprise report that displays a list of sales made at each Enterprise Location during the selected date range.

You can use the search bar in this report to filter the data by client, purchase ID, transaction ID, or item name. For example, if you only want to view transactions for a specific product, you can enter the product’s name in the search bar.

The Sales Details by Location Report gives Enterprise businesses a detailed breakdown of sales performance across multiple locations. By comparing revenue from services, products, and memberships at each site, operators can easily identify which locations are thriving and which may need support.

This report helps businesses pinpoint trends, evaluate regional strategies, and allocate resources more effectively. With clearer visibility into location-level data, enterprises can make faster, smarter decisions to improve overall performance and drive consistent growth across their network.

Viewing options in the Sales Details by Location Report

Option

Description

View mode

Determines how each line item in the report is organized. The options are:

  • Item view – Filters items that were purchased within one transaction and displays them as separate rows.

  • Transaction view – Groups all items in a transaction into a single row. $0 transactions are shown but excluded from summary card counts. Additionally, when this view is selected, a Payment Status column are displayed in the report.

With each partial payment towards the account balance, Transaction View displays the items' original purchase total (minus any refunds), while Item View displays the items' original prices at checkout. These figures serve as references for what the client was originally charged.

Accounting Method

Use this filter to determine which sales to include based on whether accrual or cash accounting methods were used. For more information about accrual and cash accounting methods, see FAQ: Reports.

Notes:

  • Manual account debits and credits are only displayed when Accrual or Accrual & Cash are selected and won’t affect the Total Net Sales or Total Transactions summary cards.

  • Selecting Accrual & Cash may result in transactions appearing more than once on this page, causing an inaccurate value to be displayed in the Total Net Sales summary card.

  • When a gift card or account balance is used as part of a split payment, the payment only appears when the Accrual or Accrual & Cash filter options are selected.

  • Account tab session passes, account tab memberships, and dollar value gift cards sold with other items or as part of a package won’t be displayed when Accrual is selected.

Summary cards in the Sales Details by Location Report

The Sales Details by Location Report displays the following transaction information based on the selected date range.

In addition to the summary cards listed in the table below, summary cards for multiple currencies are also available when a business operates in multiple countries. Multiple currencies are only displayed on the Total Net Sales and Total Taxes summary cards.

Summary card

Description

Total Transactions

The total number of transactions completed by clients. $0 transactions and transactions that were refunded or voided aren’t included in the total.

Manual account debits and credits won’t be included in this summary card and are only displayed in the report when Accrual or Accrual & Cash accounting method filters are selected.

This card only appears when Transaction View is selected.

Net Items Sold

The total number of items purchased.

Additionally, transactions that were failed, voided, and refunded aren’t included in this value.

This card only appears if Item View is selected in the advanced filters for this report.

Note: If you charge surcharges to your clients, each surcharge is counted as a separate item in this card.

Total Net Sales

The total net sales, including discounts and surcharges. Taxes and tips aren’t included. Additionally, voids and refunds are deducted from this value, and failed transactions aren't included.

Manual account debits and credits won’t be included in this summary card and will only be displayed in the report if Accrual or Accrual & Cash accounting method filters are selected.

Note: When exporting the Sales Details by Location Report, failed transactions will be automatically included in the sum of the Total Net Sales column in the exported file. To exclude failed transactions from the exported file, apply a filter in the software you’re using.

Total Paid

The total amount collected with transactions, including net sales, taxes, and any discounts.

Failed Payments

The total number of failed payments that occurred.

This card only appears if Transaction View is selected.

Total Failed Amount

The total value of all the failed transactions that occurred.

This card only appears if Transaction View is selected.

Account Credit

The total value credited to clients’ account balances.

Custom Tax/Total Taxes

The total value of taxes applied to the items sold during the selected date range. If there is only one type of tax set up in your store settings, this summary card will be named after the tax you have created.

If you have two or more taxes set up in your store settings, this summary card will appear as Total Taxes.

Taxes from failed, voided, and refunded transactions aren’t included in this value.

Note: In Item View with Cash accounting, the card may show an amount in brackets. This is the tax from a split payment paid by gift cards, account balances, and failed ACH.

Columns in the Sales Details by Location Report

Heading

Description

Purchase ID

The Purchase ID for the sale. The Purchase ID can also be found next to the Purchase Number on the receipt.

Transaction ID

The Transaction ID for the sale. The Transaction ID can also be found on the Transaction details page.

This column only appears if Transaction View is selected in the advanced filters for this report.

Date

The date and time at which the transaction occurred.

Client

The name of the client who made the transaction. You can click the client’s name to open their client profile.

If a guest completed the transaction, Guest appears in this column. You can click Guest to open their guest profile.

Location

The location(s) where the transaction was made. This column is only displayed if your business has more than one location.

Note: Payments applied to purchases on account made before December 16, 2025 display the client’s home location instead.

Revenue Category

Any revenue categories selected for the item. If no revenue category was selected, this column will appear empty.

When the item listed represents a payment toward another item, such as a payment plan or deposit, the revenue category associated with the originally purchased item is listed.

Item

The name of the item(s) that were sold.

When a payment is made toward an item or account balance, such as a payment plan, deposit, or account payment, the applicable item is listed.

If you have surcharges enabled in your store settings, each surcharge is listed as a separate item, labeled as Credit Card Surcharge or ACH Surcharge depending on the payment method used.

Note: The following payment types may not display the associated item name in the Account Balance History or sales reports and may instead appear as Account Payment:

  • Payments applied to purchases on account made before December 16, 2025.

  • Some credit card and ACH auto-payments that initially failed and were later charged to the client's account balance. This issue is resolved for new auto-payments processed on or after March 26, 2026. Affected auto-payments processed before this date will continue to appear as Account Payment.

  • Collection payments made directly to Aldous and Associates or to your business after a client is sent to collections. It will continue to appear as Collection Payment. To learn more, see Complete Guide to Collections.

Qty

The number of items sold to the client as part of the transaction.

In Item View, if an item was only partially paid using an account payment, the quantity shows as 0 and a note icon appears. Once the final payment is made, the quantity updates to 1.

In Transaction View, only fully paid items are counted. Partially paid items aren't included until payment is complete.

Price

Displays the price of an item, excluding discounts, surcharges, taxes, and tips.

Only available in Item View.

Subtotal

When Item View is selected, this column displays the price of an item multiplied by the quantity of that item included in a transaction.

When Transaction View is selected, this column displays the amount spent for every item in a transaction, excluding discounts, surcharges, taxes, and tips.

Note: When viewing split payments in the report using Transaction View, the Subtotal, Purchase Total, and Discount Amount values are always shown on the first payment method row.

Discount Code

The discount code that was used for the purchase, if any.

Discount Amount

The amount of the discount applied to the transaction, if any.

Note: When viewing split payments in the report using Transaction View, the Subtotal, Purchase Total, and Discount Amount values are always shown on the first payment method row.

Account Debit

The amount charged when a client used their account as a payment method, or the amount manually charged to a client’s account balance by a staff member.

Because these are charges to the client’s account, the entries in this column appear as negative amounts.

Total Net Sales

The total value of the transaction, including discounts and surcharges, but excluding taxes and tips.

Note: For split payments, this report shows the breakdown of payment methods in a tooltip in the Total Net Sales, Custom Tax/Total Taxes, and Tips columns when the Cash accounting method is selected.

Custom Tax/Total Taxes

The total value of taxes applied to the item sold. If there is only one type of tax set up in your store settings, this column will be named after the tax you have created.

If you have two or more taxes set up in your store settings, this column will appear as Total Taxes.

Note: For split payments, this report shows the breakdown of payment methods in a tooltip in the Total Net Sales, Custom Tax/Total Taxes, and Tips columns when the Cash accounting method is selected.

Purchase Total

The total value of the transaction after discounts, surcharges, taxes, and tips.

Note: When viewing split payments in the report using Transaction View, the Subtotal, Purchase Total, and Discount Amount values are always shown on the first payment method row.

Total Paid

The total amount paid with the payment methods specified under the Payment Methods column.

This column only appears if Transaction View is selected in the advanced filters for this report.

Note: If a membership conversion is charged entirely to a client's account balance and a prorated credit from a previous membership was applied, this column displays the Total After Credits amount. This is the converted membership price minus the prorated credit, rather than the full membership price.

Tips

The total value of tips associated with the transaction.

Note: For split payments, this report shows the breakdown of payment methods in a tooltip in the Total Net Sales, Custom Tax/Total Taxes, and Tips columns when the Cash accounting method is selected.

Payment Method

The payment method used by the client to make the transaction. If the client used multiple payment methods to make the transaction, each payment method will be listed in this column.

If any notes are attached to the transaction, a Note icon will appear in this column. You can hover over the icon to display the note.

If the payment method used was a check, the check number will be included in this column.

Note: If a membership conversion is charged entirely to a client's account balance and a prorated credit from a previous membership was applied, a note icon appears beside the payment method. Hover over the icon to see the message: Includes prorated credit from [old membership name].

Payment Status

The status of the payment involved in the transaction. This column only appears when Transaction View is selected in the filters for this report.

Some statuses may appear with the Note icon beside them. You can hover over this icon to view the note attached to the payment status.

Possible statuses include:

  • Account Credited – An amount was successfully added to the client’s account balance.

  • Account Debited – An amount was successfully charged to the client’s account balance.

  • Authorization Error – The credit card authorization was unsuccessful.

  • Authorized Successfully – The credit card authorization was successfully processed.

  • Error During Refund – The refund was unsuccessful.

  • Failed – The transaction was unsuccessful.

  • Full Refund – This transaction is a full refund of a prior transaction. The Purchase ID and Transaction ID should match the prior transaction.

  • Fully Refunded – The transaction was successful but has been fully refunded.

  • Partial Refund – This transaction is a partial refund of a prior transaction. The Purchase ID and Transaction ID should match the prior transaction.

  • Partially Refunded – The transaction was successful but has been partially refunded.

  • Processing – The transaction is being processed by the gateway.

  • Purchase Error – The transaction was successful, but the purchased item, such as a Purchase Option, failed to appear in the client’s profile. This can occur when a temporary server issue interrupts the purchase. If the purchase was made using a credit card, the transaction will be voided after 30 minutes, and the Purchase Error payment status will be changed to Voided. If the purchase was made using ACH, cash, check, gift card, or the client’s account balance, then the transaction must be refunded.

  • Successful – The transaction was successfully processed.

  • Voided – The transaction was successfully canceled before the batch closed. For more information, see Transaction batches and refunds.

  • Waiting for Settlement – The ACH transaction is being processed and will take up to 14 business days to settle.

Account Change

This column will be populated with different information depending on the related Item:

  • The amount manually added to a client’s account balance by a staff member.

  • The amount the client paid toward their account balance.

    • This information only appears when Cash or Accrual & Cash are selected for the Accounting Method

  • The amount paid to Collections.

    • This information only appears when Cash or Accrual & Cash are selected for the Accounting Method

  • The amount added to the client’s account balance by an account-based membership or session pass.

  • The amount refunded to the client’s account balance.

If notes were added with the payment, a notes icon will appear next to the payment method. Hover over the icon to view the content of the note.

Sold by

The name of the user who completed the transaction. If the transaction was an automatic payment, this column will display Automatic payment.

Point of Sale

The platform through which the sale was made. Bulk Billing appears as a value for transactions that originated from a bulk billing batch. For more information, see Charge multiple clients at once with bulk billing.

Frequency

The frequency at which the transaction occurs, either Recurring or One-time.

Action

An expandable menu that allows you to:

  • Staff members must have the required permissions to perform these actions.

  • Only credit card transactions completed within the past 24 hours can be voided from this menu.

  • To return free ($0) items and adjust your inventory, select Transaction view, then refund or void the transaction.

Filters in the Sales Details by Location Report

Filter

Description

Gift Cards

Use this filter to determine which gift cards to include in the report.

Display sales with discounts

Use this filter to determine whether to include discounted sales in the report.

Discount Codes

Use this filter to determine which sales to include in the report based on which discount codes were applied to the sale.

Introductory Offer

Use this filter to determine whether to include introductory offers in the report.

Client Groups

Use this filter to determine which clients to include in the report based on their client group.

Note: This filter will pull any relevant information from the available fields. For example, if you filter for groups A, B, and C, the filter will find clients from group A, group B, group C, and any combination thereof, as opposed to only finding clients who belong to all three groups.

Payment Method

Use this filter to determine which sales to include in the report based on the payment methods used.

Locations

Use this filter to determine which locations to include in the report.

Purchase Options

Use this filter to determine which Purchase Options to include in the report. For more information, see Creating or modifying a membership or Creating or modifying a session pass.

Others

Use this filter to determine whether to include other purchases in the report.

Relationship Payment

Use this filter to determine which items to include in the report based on who made the purchase; the client who received the item or the client who paid for the item.

By default, this report displays transactions based on the client who received the item. When Payer is selected, this report will display transactions with the client who paid for the items under the Client Name column. When Recipient is selected, this report will display transactions with the client who received the items under the Client Name column.


​Note: If you select both Payer and Recipient, any auto-payments will be displayed with the name of the client who paid for the auto-payments under the Client column.

Auto-Renew

Use this filter to determine which Purchase Options to include based on whether auto-renew is on or off.

Point of Sale

Determines which sales to include based on their point of sale. Bulk Billing is included as a value for sales that originated from a bulk billing batch.

Revenue Categories

Use this filter to determine which sales to include in the report based on the revenue categories they are classified under.

Charged Taxes

Use this filter to determine which sales to include in the report based on whether the client was or was not charged taxes.

Taxes

Use this filter to determine which sales to include in the report based on which tax types were applied to them.

The options available in this filter are dependent on the taxes you have set up in your store. Selecting a tax filter will display all sales to which that tax was applied.

Selecting the No taxes filter will filter for sales that do not have taxes applied to them

Note: If the tax amount of a sale is manually changed to zero when the sale is made, the sale will still be considered taxed and can be filtered for using the appropriate tax filter.

Service Drop-Ins

Determines which drop-in purchases for appointments, Book-a-Spot assets, classes, and events to include in the report.

Note: This filter is for services that were paid for using a drop-in, and not for services that were paid with a Purchase Option.

Deposit

Use this filter to determine which sales to include in the report based on whether they were made with or without a deposit.

Guest Purchases

Use this filter to determine whether to include transactions completed by clients, guests or both in the report.

Products

Use this filter to determine which product(s) to include in the report.

Payment Frequency

Use this filter to determine which transactions should occur based on their frequency, either One-time, Recurring, or Both.

Payment Method

Use this filter to determine which sales to include in the report based on the payment methods used.

Credit Card Type

Use this filter to determine which sales to include based on the credit card provider used to complete the purchase. (VISA, Mastercard, etc.)

Payment Status

Use this filter to determine which sales to include based on the status of the payment.

This filter will only appear if Payment View is selected.
