Priority booking lets you give specific client groups earlier access to book classes, events, appointments, and assets. For example, you can allow Platinum members to book up to 14 days in advance while standard members can only book 7 days ahead. This helps you reward your most valuable clients and incentivize premium memberships.
When this feature is enabled, each client group you configure gets its own maximum booking window. These group-specific windows override your global default booking setting for clients in those groups.
Key tips
You must have client groups already set up in WellnessLiving. To create a client group, see Create a client group.
Your global booking window is configured under Business Policies. Group-specific windows override this setting for clients in those groups.
Only staff with permission to manage business policies can configure this feature. For more information, see Staff role permissions.
Set up priority booking by client group
To set up priority booking by client group:
Open the App Drawer
then click View All > Setup > Business > Business Policies > Service Specific Booking tab.
Under Client can book a maximum, set the Enable custom booking windows for specific client groups option to ON.
Under Selected client groups, search for and select a client group.
Set how far in advance that group can book, for example, 2 days, 3 weeks, or 5 months before the start time of a session.
Repeat steps 3–4 for each client group you want to configure.
Click Save.
How booking windows work
Once enabled, the system checks a client's group membership before allowing a booking:
If the client's group window is open, they can book as usual.
If the client's group window hasn't opened yet, the session won't be bookable. The client will see when their booking window opens so they can plan accordingly.
If a client belongs to multiple groups, the system automatically applies the most permissive window. For example, if one group allows booking 14 days ahead and another allows 7 days ahead, the client can book up to 14 days in advance.
Group booking and relationship booking
When a client books for additional attendees, the booker's booking window applies to everyone in that transaction:
Solo booking – the client's own group window applies.
Group booking (friends added at checkout) – the booker's window applies to all attendees.
Relationship booking (family members or dependents) – the booker's window applies to all attendees.
This means a Platinum member can book for a guest or family member during their priority window, even if those attendees are in a lower-tier group or no group at all.
Behavior for clients who aren't signed in
When a client is browsing your schedule without being signed in, through a booking widget, a direct booking URL, or the Client Portal in guest mode, the system can't identify their client group. In this case:
The schedule displays the most restrictive booking window across all configured options.
This prevents guests from selecting dates that fall inside a priority window they aren't entitled to, only to be blocked at checkout after signing in.
After the client signs in, the schedule refreshes to show their actual booking window based on their group membership.
